Secretary - Emergency Department

Location: Cheyenne, Wyoming

Provides clerical support to department or unit. Performs general clerical and receptionist duties.

CORE RESPONSIBILITIES

1. Performs clerical tasks required in preparation of routine corresponden ce and reports.

2. Assists with projects under general supervision.

3. Handles incoming and outgoing mail.

4. Maintains files and record systems.

5. Performs basic computer applications including word processing and spreadsheets.

6. May assist with maintaining Kronos for the department and staff scheduling for the department.

7. General management of the multi-line phone system. Answers all incoming calls and forwards them and/or mailbox messages to the appropriate person.

8. Schedule patients via phone or in person. Assist with scheduling follow-up appointments and rescheduling cancelled appointments. Completes confirmation calls for upcoming appointments for new patients.

9. Resolve items in the work queue daily; scan outside records to medical chart; maintain old medical records.

10. I understand that it is not within my scope of practice to handle any medications that I might inadvertently c ome in contact with, including medications delivered in the pneumatic tube system. If I do come in contact with medications I know to alert a licensed employee for them to handle

DEPARTMENT SPECIFIC RESPONSIBILITIES

CARE CLINIC: Transcribes orders accurately and timely, collaborating with RN when necessary. Collaborates with other departments to obtain lab, radiology, EKGs and other preoperative tests as necessary. Verifies and collaborates with other departments and physician offices to assure accuracy and completeness of patient charts. Communicates updates, changes, abnormal lab, xray, or EKG results to RN for follow up.
< br> EMERGENCY DEPARTMENT: Maintain the physician call-schedule and any changes. Record arrival times of surgeons, anesthesiologist, and ancillary departments to all Code Ones, Traumas, Stem Alerts, and Stroke Alerts. Scan all hard copy patient records into EPIC media when applicable.

HOSPICE: Preauthorizes hospice services with insurance companies, assist biller with audits and other duties, enters Notice of Elections, audits daily charges for the hospice department; receive and answer patient account injuries in a timely manner and work assigned work queues.

NURSING UNITS: Answering and relaying patient calls, accepting and relaying other communications, completing and maintaining reports and records, and ordering supplies. The Secretary takes direction from the unit clinical staff, reports concerns to nurse leader on the floor and is accountable to Clinical Nurse Manager and/or Department Director.

Oncology Service Line: Keep current publications in library; order new publications. Assist in the boutique, maintains American Cancer Society directory, document donations, and keeps updated marketing for events and groups. Scan all hard copy patient records into EPIC media when applicable or requested.

PHYSICAL REHAB: Assists with cleaning and stocking and ordering equipment.

SKILLS, KNOWLEDGE, AND ABILITIES

  • Proficient with MS Office, Outlook and Internet Explorer
  • Excellent organization skills and attention to detail
  • Demonstrates an independent work initiative, sound judgment and attention to detail
  • Ability to handle multiple tasks simultaneously
  • Proficient with standard office equipment
MINIMUM REQUIREMENTS

  • Completion of or in pursuit of high school diploma or GED
  • Specialty certifications as required per department:
o AHA BLS required for Emergency Department and Wy oming PACE

PREFERRED QUALIFICATIONS

  • Previous clerical experience
  • If working in a clinical area, prior experience in a clinical setting
  • Medical Terminology
